Privacy Policy

1. Who we are
ChurchWise is a product of ChurchWiseAI Ltd. For anything on this page, write to privacy@churchwiseai.com.
2. The free tools: nothing leaves your browser
The Clergy Housing Calculator, Church Bylaws Generator, Child & Vulnerable-Person Protection Policy Generator and Donation Receipt Generator run entirely in your browser. What you type into them — income and rent figures, church and governance details, policy fields, donor names and gift amounts — is never sent to our servers. It exists only on your device, for as long as your browser tab is open, and is used only to calculate the figure or assemble the document you asked for. We have no record of what you entered, and we cannot retrieve it for you if you close the tab before saving your download.
3. If you give us your email address
You can choose to leave your email address in two places: the ChurchWise letter sign-up on the home page (a few emails a year about new tools, new guides and rule changes), and the “January re-check” on the housing calculator (a note when a rule it uses changes). If you do, we store only the email address and which of the two you signed up for, in our own subscriber list, on the strength of the express consent you gave when you ticked the box, as Canada’s anti-spam law (CASL) requires. When we write to you, the message is delivered by our email provider (Resend — see section 6). Every email we send this way carries a one-click unsubscribe link, and unsubscribing removes you from the list immediately. We never sell or trade this list, and we never add an address to it without that address having taken an action to opt in.
4. The Safe Church Tracker
If your church subscribes to the Safe Church Tracker, we store what the service needs to do its job: each volunteer’s name, email address, the ministries they serve in, the completed-on and renew-by dates for each screening item, the sign-off record (the name typed and the time, against a policy version), and the log of reminder emails sent. We never store a police check itself — not the document, not the result, not the check number. Your church keeps that. There is no field in the product for it.
Your church controls this data: coordinators can edit or permanently delete a volunteer record at any time, and can export the whole roster as a CSV whenever they want. If your church cancels, we keep the data for 90 days so it can be exported or the subscription resumed, then delete it. A volunteer can also ask for their own record to be removed by contacting their church or privacy@churchwiseai.com directly.
5. Analytics
churchwise.ca runs cookieless product analytics only. We use an analytics tool configured to keep nothing in a cookie or in your browser’s local storage — no identifier is written to your device, and nothing about you persists between visits. We do not run Google Analytics, Google Ads or any advertising pixel on this site: nothing is being advertised here, so there is nothing for those tools to do. Because no analytics cookie is set and no advertising tracker runs, this site does not show a cookie-consent banner. The one cookie this site does set is essential: signing in to the Safe Church Tracker sets a session cookie that keeps a coordinator signed in.
6. Who we share information with
The services that help us run ChurchWise, and what they see:
- Vercel — hosts this website. Sees ordinary web traffic (your IP address, the page requested) the way any host does.
- Supabase — the database behind sign-in and the Safe Church Tracker. Stores the tracker data described in section 4 and the subscriber list described in section 3, encrypted at rest and in transit.
- Resend — sends the emails ChurchWise sends: tracker reminders, policy sign-off links, the ChurchWise letter and the January re-check. Sees the recipient’s email address and the content of that one message.
We do not sell your information to anyone, for any purpose.
7. Your rights
You can ask us what we hold about you, ask us to correct it, or ask us to delete it, by writing to privacy@churchwiseai.com. If you believe we have mishandled your personal information and are not satisfied with our response, you may complain to the Office of the Privacy Commissioner of Canada.
